We are looking for a charismatic, detail-oriented, and deadline-driven Event Coordinator to join our team! This hybrid role requires someone based in the Chicago area with reliable transportation to travel to and from event sites, venues, and in-person meetings.

Key Responsibilities:

  • Event Coordination & Management – Assist in planning and executing events from conception to completion, ensuring all logistical details are handled efficiently.

  • Talent Booking & Liaison – Coordinate with artists, speakers, and performers, ensuring all booking agreements and logistics are managed smoothly.

  • Venue Logistics – Ensure the event venue is properly set up, equipped, and staffed based on the event type and production needs.

  • On-Site Event Support – Oversee event setup, vendor coordination, and troubleshooting to ensure seamless execution.

  • Administrative Tasks – Assist in scheduling, maintaining event timelines, and collaborating with vendors, partners, and internal teams.

  • Compliance & Safety – Ensure events adhere to all necessary guidelines, permits, and safety protocols.

Requirements:

  • Minimum 2 years of experience in event coordination and management.

  • Highly organized with a strong ability to meet deadlines and manage multiple tasks.

  • Excellent communication & people skills – Charismatic, professional, and able to interact with diverse teams, talent, and clients.

  • Reliable transportation to attend meetings, scout venues, and be present at events.

  • Tech-savvy – Proficiency in event planning software, spreadsheets, and communication tools.

  • Ability to lift and set up event materials as needed.

  • Must be 21+ due to the nature of events we coordinate.

Additional Details:

  • This is a contractor position with opportunities for a permanent role based on performance and business needs.

  • You will work closely with the Event Director to bring high-quality events to life.

  • Hybrid role – Remote planning with in-person attendance required for events and meetings.
